These terms are the agreement between you and BNB Suite™ when you use our website, the app and our services. Please read them: by creating an account or using BNB Suite you accept them. If you use BNB Suite for a company, you accept them on its behalf and confirm you are allowed to.
The key points
- Your data is yours. You can export it, and we only process it to run the service for you.
- You can try everything for 30 days without a card, then keep the Free plan or choose Pro. Pro is always paid in advance, and there is no commitment beyond the period you paid for.
- You stay responsible for your legal duties as a host or manager: police registration, tourist tax, authorisations and your contracts with owners. BNB Suite prepares the paperwork; it doesn't file it for you.
- Features marked "Coming soon" are not available yet and have no guaranteed date.
About these terms
BNB Suite is operated by Kensho Visual (NIF 73008219D), Calle de Juslibol 34, Zaragoza, Spain ("BNB Suite", "we", "us"). "You" means the person or company that creates a workspace or uses our services.
These terms cover the website mybnbsuite.com, the app at app.mybnbsuite.com and agency addresses on mybnbsuite.com (together, the "service"), the services our team delivers (see Services) and the affiliate program. Our privacy policy and cookie policy are part of this agreement.
Words we use
- Workspace: the space of one agency or host in the app, with its properties, bookings, owners and team.
- Customer: the person or company that holds the workspace and, if applicable, pays for it.
- Users: everyone the customer invites: admins, managers, field team and owners.
- Customer data: everything the customer and its users put in the workspace, including data about guests, owners, team and suppliers.
- Active property: a property with at least one stay or task during the month.
Accounts
- BNB Suite is made for professionals: property managers, conciergeries and hosts who rent out homes. You must be at least 18 and able to enter into a contract.
- Give accurate information and keep it up to date. Keep your password private; you are responsible for what happens under your account.
- The customer decides who to invite and with which role, and is responsible for its users' use of the service. Remove access for anyone who no longer works with you.
- Tell us straight away at help@mybnbsuite.com if you think someone has accessed your account without permission.
Plans, trial and prices
- Trial: every new workspace gets 30 days with all Pro features, without a card.
- Free plan: after the trial, the workspace moves to the Free plan automatically. It includes up to 2 active properties and 3 team accounts. Nothing is deleted when the trial ends; features and limits above the Free plan simply stop until you choose a paid plan.
- The paid plan (Pro) is charged per active property per month, at the prices shown on our pricing page when you subscribe. Prices are in Moroccan dirhams (MAD) and exclude taxes such as VAT, which are added where applicable. You pay in advance, either monthly or once for 12 months; paying yearly costs less, as shown on the pricing page. If you stop paying, the workspace moves to the Free plan and you owe nothing more.
- How you pay today: you choose Pro in the app or on WhatsApp, we send you an invoice and Pro is activated once it is paid. Online card payment is coming soon.
- Price changes: we will tell you at least 30 days before a price change applies to you. It applies from your next billing period, and you can cancel before it does.
- Late payment: if an invoice stays unpaid 15 days after a reminder, we may move the workspace to the Free plan. Your data is kept.
- AI usage is included within monthly limits that depend on the plan. Above the limit, AI features pause until the next month (the guest assistant keeps answering from the guidebook without AI).
Cancelling and refunds
- You can cancel a paid plan at any time by writing to us. It stays active until the end of the period already paid, then the workspace moves to the Free plan.
- Periods already paid are not refunded, except when the law requires it or when we end the service for reasons that are not your fault (see Suspension and closure), in which case we refund the unused part.
- You can close your workspace completely by writing to help@mybnbsuite.com. Export anything you want to keep first. We delete the workspace within 90 days, except what accounting law requires us to keep.
Your data
- You own the customer data. You give us the right to host, copy, process and display it only as needed to provide, secure and support the service for you.
- You can export your tables (CSV and PDF) from the app at any time. On request, we help you retrieve the rest when you leave.
- You are responsible for the customer data being lawful and accurate, and for having the right to put it in BNB Suite, including informing your guests and owners.
- We may use anonymous, aggregated statistics (for example, the number of stays synchronised) to run and improve BNB Suite. They never identify you, your guests or your owners.
Data protection: how we process your data
For personal data in your workspace, you are the controller and we are your processor under Article 28 of the GDPR and, for data concerning people in Morocco, Moroccan law 09-08 (sous-traitant). This section is our data processing agreement with you. We:
- process that data only to provide the service and on your documented instructions, which are these terms and your use of the app;
- make sure everyone who works on it is bound by confidentiality;
- protect it with the security measures described in our privacy policy, including separation between workspaces and roles;
- use only the providers listed in our privacy policy, under written terms that protect the data, and tell you before adding or replacing one, so you can object;
- help you answer your guests', owners' and team members' requests to exercise their rights, and help you with security, breach notification and impact assessments where needed;
- tell you without undue delay, and within 72 hours where possible, if we become aware of a breach affecting your data;
- delete or return the data when your workspace is closed, as described above;
- give you the information you reasonably need to show you comply, and answer your written questions about our processing.
You are responsible for the lawfulness of your own processing: declaring it to the CNDP where required (you can enter your CNDP number in the app so guests see it), informing the people concerned and having a legal basis for what you collect. Where your data is transferred outside Morocco to our providers, you instruct us to do so to provide the service; see international transfers.
Your legal duties as a host or manager
BNB Suite gives you tools, but you stay responsible for your activity and your obligations under Moroccan law and the rules of the platforms you use, in particular:
- Police registration. BNB Suite collects guests' police forms and prepares them for printing (French and Arabic) and for STDN. It does not send anything to the police, the gendarmerie or the DGSN. Declaring your guests, on time and on the right channel, is your responsibility, as is keeping the forms for the period the law requires (at least one year, law 80-14).
- Authorisations and classification of your accommodation, where required.
- Tourist tax (taxe de séjour) and all other taxes. The amounts shown by the app are an aid and must be checked.
- Your contracts with owners and the content of the management contracts, statements and house rules you create in the app.
- ID photos and selfies: if you turn them on, only use them for guest registration and make sure you have a legal basis to collect them.
- Accounting: statements, balances and statistics are calculated from the data you enter. Check them before relying on them for tax or accounting.
Acceptable use
Don't use BNB Suite to:
- break the law, the rights of others or the terms of the platforms you are connected to;
- store data you have no right to process, or collect more guest data than needed;
- send spam or unwanted messages through the guidebook, the assistant, e-mails or Telegram;
- try to access other workspaces, bypass limits or security, overload the service, or copy, resell or reverse-engineer it;
- upload malware or illegal content.
Airbnb, Booking.com and other services
- BNB Suite is not affiliated with, endorsed by or a partner of Airbnb, Booking.com, Vrbo, Expedia, Google, Meta, Telegram or STDN. Their names are used only to describe compatibility.
- Today, calendars synchronise through the calendar links (iCal) you add, every 3 hours or when you press "Synchronise". Platforms control these links and can delay or change them. Synchronisation is not instant, and BNB Suite cannot guarantee that double bookings won't happen. Check availability for last-minute bookings.
- Booking e-mails you forward to your BNB Suite address are read automatically to complete stays. Check the result when the app asks you to.
- Your use of those services stays governed by their own terms.
AI features
- Some features use artificial intelligence (Claude, by Anthropic): guidebook translation and completion, the guest assistant, the agency assistant and reading booking e-mails.
- AI can make mistakes. Review translations, drafts and figures before you rely on them or send them. You are responsible for what you publish and send.
- The guest assistant answers from your guidebook and passes questions it can't answer to your team. It is not an emergency service: for emergencies, guests must call the local emergency numbers (in Morocco, 19 police, 15 ambulance, 177 gendarmerie), which the assistant reminds them of.
Electronic signatures
Owners can sign management contracts, and guests can sign house rules, from their phone. These are simple electronic signatures under Moroccan law 43-20 on trust services for electronic transactions. We record the name typed, the date and time, the text signed and, for owner contracts, information about the device. A simple electronic signature is valid evidence, but it is not a qualified signature. If you need a higher level for a specific contract, use a qualified signature service. You are responsible for the content of the documents you ask others to sign.
Guest pages and direct booking requests
- The guidebook, guest portal, police form, supplier page and direct booking page are published by you, for your guests and partners. Their content is yours.
- A direct booking request is a request between the guest and you. BNB Suite is not a travel agency and not a party to the stay. It does not take payments, and doesn't confirm or guarantee bookings.
- Extras ordered from the guidebook are sold by you or your suppliers, under your conditions.
Services by our team
Our team offers services such as websites, Google Business Profile management, local SEO, photo shoots, videos, social media, setup, QR and NFC kits and your own app address (see Services).
- Each service is quoted before it starts, in writing (e-mail or WhatsApp). Nothing starts until you accept the quote. The quote sets the price, what is included and the timing, and prevails over these terms if they differ.
- Third-party costs (domain names, advertising budgets, printing, travel outside the agreed area) are extra unless the quote includes them.
- Once paid, the deliverables are yours: domain names, websites, photos, videos and your Google profile stay in your name. We may show the work in our portfolio unless you ask us not to.
- Monthly services can be stopped at the end of any month with notice before that month starts.
- We don't promise specific rankings, reviews or bookings: search engines and platforms decide.
Affiliate program
- You can apply from our contact page. We accept affiliates at our discretion.
- Rewards, the way referrals are tracked and when rewards are paid are agreed with you in writing before you start. There is no reward without that written agreement.
- Referring yourself or your own company, misleading people about BNB Suite, spam and paid ads on our brand name are not allowed and cancel the rewards concerned.
- Affiliates are independent. They can't make promises or sign anything on our behalf.
- We may change or end the program with 30 days' notice. Rewards already earned under the written agreement remain due.
Features coming soon
We announce some features before they exist, marked "Coming soon" or "Coming". They are not part of the service until they are live. We don't guarantee they will launch, when, or exactly as described, and you shouldn't subscribe on the basis that they will. When they launch, these terms will be updated and some will have additional conditions.
- Connect: channels in real time (included in Pro). Connection by API to Airbnb, Booking.com, Vrbo and Expedia through a channel manager partner (such as Channex). You will need accounts with those platforms and to accept their terms. Even connected by API, platforms can reject updates or change their rules; you remain responsible for your prices, availability and listings.
- One inbox and reviews (Pro): guest messages and reviews from the platforms in one place, with AI draft replies that you review before sending.
- AI that acts, with your OK (Pro): the AI proposes changes (for example, prices), shows you exactly what will change, and nothing happens until you confirm. Every action is logged. You are responsible for what you confirm.
- Pricing rules or PriceLabs (Pro): automatic prices from your rules, or from PriceLabs if you connect it. PriceLabs is billed by PriceLabs under its own terms.
- Smart locks (Pro): door codes created and sent for each stay with compatible locks (such as TTLock or igloohome). You remain responsible for the physical security of your properties, for checking that codes work and for having a backup way in. We are not liable for lock, battery, network or manufacturer failures.
- iPhone and Android apps: the same service in the App Store and Google Play, also subject to Apple's and Google's terms.
- WhatsApp guest assistant: the guest assistant on WhatsApp, through Meta's WhatsApp Business Platform, subject to Meta's policies.
- Online payments: paying your subscription by card through a payment provider, under that provider's terms.
- Cleaner marketplace: a place where agencies find and book independent cleaners, starting in Marrakech. Cleaners will not be our employees; BNB Suite will only connect the two sides. The marketplace will have its own terms for agencies and cleaners.
- Agency website from a template (Pro): a website in your colours showing your properties and availability. You will be responsible for its content and for the requests it receives.
Availability and support
- We work to keep BNB Suite available and secure, but we can't promise it will always be available, fast or error-free. Maintenance may cause short interruptions; we try to schedule it at quiet times.
- We may improve, change or remove features. If we remove a major feature you pay for, we will tell you in advance and you can cancel.
- Support is by e-mail at help@mybnbsuite.com and on WhatsApp, in English, French, Spanish, Darija and Italian. We aim to reply within 24 working hours.
- The demo at app.mybnbsuite.com/demo uses an invented agency and invented data. Don't enter real data in it.
Intellectual property
The software, design, texts, logo and the BNB Suite name belong to us or our licensors. You get a personal, non-transferable right to use the service during your subscription, under these terms. Photos on our website are used under the Unsplash licence or with permission. If you send us feedback or ideas, we may use them freely, without obligation to you.
Liability
- The service is provided "as is". To the extent the law allows, we don't give warranties beyond those in these terms.
- We are not liable for indirect losses, such as lost bookings, lost revenue, lost profit, loss of reputation or penalties from platforms, nor for losses caused by third-party services (booking platforms, AI providers, telecom, locks) or by the data you enter.
- We are not liable for fines or sanctions resulting from your own legal duties, including police registration, tourist tax and authorisations.
- Our total liability for any claim related to the service is limited to the amount you paid us in the 12 months before the event that caused it.
- Nothing in these terms limits liability that cannot be limited by law, such as liability for fraud or gross negligence, or the mandatory rights consumers have under the law of the country where they live (for example Spanish consumer law or Moroccan law 31-08).
- You will cover us for claims from third parties (including your guests, owners and platforms) caused by the customer data or by your breach of these terms or the law.
Suspension and closure
- We may suspend access, after warning you when possible, if you seriously breach these terms, if your use puts the service or other users at risk, or if the law requires it.
- We may close a workspace that has been inactive on the Free plan for more than 12 months, after warning you by e-mail at least 30 days before.
- If we decide to stop BNB Suite altogether, we will tell you at least 90 days in advance, let you export your data and refund any unused paid period.
Changes to these terms
We may update these terms as BNB Suite evolves. For important changes we will tell account holders in the app or by e-mail at least 30 days before they apply. If you don't agree, you can cancel before they take effect.
Governing law and disputes
These terms are governed by Spanish law. Before going to court, let's try to settle any disagreement together: write to us and we will reply within 15 days. If we can't agree, the courts of Zaragoza (Spain) will have jurisdiction. If you are a consumer, you keep the protection of the mandatory rules of the country where you live and can also go to its courts.
